Festival & Event Grant Program

The Festival & Event Grant Program supports festivals and events that activate Charlottetown, celebrate community, attract visitors, drive economic impact, and strengthen the City’s reputation as a premier year-round event destination. 

Cultural programming may be eligible where it has clear visitor appeal or economic impact; however, standalone cultural initiatives are funded through the Arts & Culture Grant Program.

Festival & Event funding amount requested may not exceed 35% of the total event budget, up to a maximum of $30,000.

Intake #1
Application Deadline: January 15, 2026
For events taking place April 1, 2026 through September 30, 2026

Events taking place after September 30 that have longer planning cycles are encouraged to apply during the first intake period.
 
Intake #2
Application Deadline: April 30, 2026
For events taking place October 1, 2026 through March 31, 2027
Eligibility Criteria

Funding applications for the Festival & Event Grant Program must, at a minimum, meet the following criteria:

  • Applicant must be a registered non-profit organization;
  • Event(s) must take place within Charlottetown city limits;
  • Event(s) must be open to the general public;
  • Funding amount requested may make up no more than 35% of the total event budget.

All events taking place on City property or in the public right of way must be able to provide proof of liability insurance naming the City of Charlottetown as an additional insured.

Ineligible Groups or Activities
The following groups and activities are not eligible for Festival & Event Grants:

  • For-profit organizations;
  • Events taking place primarily outside Charlottetown city limits;
  • Private/closed events;
  • Retroactive requests;
  • Political or religious events;
  • Conferences not affiliated with City Departments;
  • Reunions;
  • Banquets or fundraising galas.
Assessment & Evaluation

All applications are screened upon receipt by the Event Management & Tourism Officer for eligibility and completeness. All eligible applications are scored out of a total of 100 points by Department staff, based on the criteria outlined below.

Economic & Tourism Impact (25)

  • Projected attendance
  • Hotel room nights and out-of-province draw
  • Projected media/social media reach and spend
  • Clear plan to measure, track, and report economic and tourism outcomes

Community Impact (20)

  • Accessibility and affordability of the event
  • Inclusivity and multi-demographic participation, including families, youth, seniors, and equity-deserving or underserved groups
  • Social and cultural impact, including use of local vendors, artists, and suppliers
  • Lasting community benefits or legacy, such as skills development, partnerships, infrastructure improvements

Strategic Alignment (15)

Program Quality (15)

  • Strength, originality, and visitor appeal of the programming
  • Integration of Equity, Diversity, Inclusion, and Accessibility practices in programming and operations
  • Environmental/sustainability considerations

Organizational Capacity & Risk Management (15)

  • Demonstrated ability and experience to successfully deliver the event
  • Realistic workplan and operational planning, including staffing and volunteer management
  • Safety and emergency preparedness

Financial Management and Sustainability (10)

  • City contribution represents a reasonable portion of the overall event budget
  • Diverse revenue sources (sponsorship, other grants, and earned income)
  • Accurate and realistic budgeting
  • Value for money
How to Apply

Applications are to be submitted via email to Charlotte Nicholson, Acting Event Management & Tourism Officer, at [email protected] and include the following information:

  • Signed applicant checklist and authorization form
  • Funding request in PDF format that includes:
    • Indication of your organization’s non-profit status;
    • Description of your organization, including event hosting experience ;
    • Description of the event(s) for which you are requesting funding. Indicate whether the event is free or ticketed;
    • Description of operational plans, including staffing and volunteers, risk management, and sustainability measures;
    • Overview of confirmed or targeted partnerships;
    • Overview of marketing/communications plans;
    • Description of the event’s impact on Charlottetown from an economic and tourism perspective, including projected attendance, hotel room nights and off-Island draw;
    • Description of the event’s impact on Charlottetown from a social and/or cultural perspective, including equity, diversity, inclusion, and accessibility plans;
    • Alignment of your event with the City’s Strategic Plan (2022 to 2026) – a community for everyone;
    • Event budget that includes all revenues and expenses and demonstrates a need for City funding. Indicate whether other funding contributions listed as revenues are confirmed or pending;
    • City in-kind services requested, if applicable;
    • Any other information relevant to your application.
All submission materials must be submitted in PDF format. Any material submitted in the body of an email will not be considered part of your application. 

Grant Results & Final Reporting


Intake #1: Decision released by April 15, 2026
Intake #2: Decision released by July 15, 2026

Successful grant recipients will receive a grant approval letter outlining the grant amount, recognition requirements, and final reporting requirements.

Final reports must be submitted within three months of the conclusion of the event or by March 15, 2027, whichever comes first. 

The City of Charlottetown has limited funds for each grant program. The review process must consider available funds and award responsibly. Partial grants may be awarded, and not all applications will receive funding, even if they meet all eligibility criteria.
